I am Rick Warling and I build these assistants. What happens in your business, you know better than I do. How to teach it to an assistant is my trade. When you call, you get me on the phone and not someone who passes it on.
Over ten years in software, from both sides: first as an architect for large corporations, designing systems and building the teams for them, then with my own products and paying customers. What matters to me is that there is less work afterwards, not just different work. So I do not rely on an AI happening to be right, but on tested rules: same input, same result, and every line can be traced back to the place it came from.

What might still hold you back
In your systems. The assistant works in the files and programs you use today. Anything processed beyond that runs in a separate instance of its own on servers in the EU or, if you prefer, on a machine on your premises. Access is role-based. Your data does not leave the EU and is not used to train models.
No, and that is not just a kind word. Not one company we talk to has too many people. They have too few, and that is why the things that get left undone get left undone. The assistant works for a person, it does not replace them: it takes the prep work off their desk, they check and decide. It is built together with that very person. If they do not take part, it does not work either.
Then your employee sees it before anything goes out. The assistant prepares, it does not decide. Where it is unsure, it flags the spot and asks instead of guessing.
For painters, roofers or plumbing firms that is true, and they should use it. We work where there is no ready-made program, because the workflow only looks like this in your company: estimating from bills of quantities, dispatching, quotes from enquiries. And we close the gaps between the programs you already have.
No. We map how you do it today, including the exceptions. To do that we sit down next to the person who does the work and have them show us. If we notice something along the way, we tell you. Nothing is changed unless you want it. We do not come to explain your trade to you, but to teach it to an assistant.
No. The assistant reads from your systems and only writes where you allow it. Your ERP stays your ERP, your filing stays your filing.
They stay in charge. We agree access and filing with them before we start and document what the assistant reads and writes, and where. We take over none of their tasks.
We do, if you want us to. If a workflow or a system changes on your side, we adapt the assistant. Everything we set up is documented so that your IT partner can follow it without us.
That the assistant works for him, not the other way round. It takes the reading and retyping off his desk, not the estimating. Your estimator sits at the table in the first conversation and defines what the assistant takes on and what it does not.
Only if you want it. The setup is covered by the fixed price. A defined workflow usually comes in between 5,000 and 10,000 euros as a fixed price. If you want us to maintain and adapt the assistant on an ongoing basis, we agree a fixed monthly amount for that up front. It is in the quote before you commit, with no long lock-in.
It depends on where you are based. Companies in Luxembourg: the SME Packages programme of the Ministry of the Economy, handled through the House of Entrepreneurship of the Chamber of Commerce and the Chambre des Métiers, covers up to 70 percent for projects between 3,000 and 25,000 euros. Companies in North Rhine-Westphalia: MID-Digitale Prozesse from NRW.BANK funds analysis and implementation support at 500 euros per consulting day, ten to thirty days, up to 15,000 euros. In Hesse there is currently no suitable state programme. We tell you in the conversation what applies to you and prepare the application with you.
Then we stop. Data, rules and templates stay with you and can be exported. You are not tied to any model or any long contract.
